GENERAL SUMMARY
Under general supervision and reporting to the VP of NDT and Metrology Services, The Administrative Assistant/Receptionist performs administrative duties supporting the business and supports various projects as assigned.

WORKING CONDITIONS
DFW area is strongly preferred.
Productivity: Incumbents must perform work in an efficient, effective, and timely manner with minimal direction. Mobility: Incumbents are required to participate in assigned physical activities which may include light lifting and sitting for prolonged periods of time.
Vision: Vision sufficient to read printed documents, computer screens, and observe behavior of others. Environment: Typical home office conditions, working directly with Senior Management, local and remote staff members, and external domestic and international payroll contacts. Low to moderate noise.
Other Factors: Typical hours worked are Monday – Friday from 8:00 a.m. – 5:00 p.m. Incumbents required to work occasional extended hours.

ESSENTIAL JOB FUNCTIONS - Essential functions are the basic job duties that an employee must be able to perform, with or without reasonable accommodation.
- Welcome visitors in the office and over the phone
- Collect visitor authorization forms and complete MK Denial checks prior to permitting entry
- Assign visitors appropriate badge
- Administrative office maintenance
- Collect, sort and scan the mail daily
- Receive deliveries
- Handle all phones - both incoming and outgoing calls
- Scanning, filing, and data entry
- Sending Appointment Reminders as required
- Maintenance of general office supplies/groceries, etc.
- Run errands as required
- Exhibits polite and professional communication via phone, e-mail, and mail.
- Provides information by answering questions and requests.
- Maintains hard copy and digital files
- Spreadsheet/Report creation and revision
- Audit prep
- Performs other duties as assigned.
Skills:
- Proficiency with MS Office, and Excel in particular, preferred
- General policy and procedures applicable to Business Administration
- Fluent English – reading and writing is required
- Professionalism, integrity, and exceptional attention to detail
- Strong decision-making skills; excellent analytical skills and professional judgment
- Excellent interpersonal, written, and verbal communication skills
- Computer Savvy; self-directed and motivated to learn new software
- Timeliness, responsiveness, and reliability
- Ensure accuracy of data and information
- Understand, interpret, apply, and explain applicable policies and procedures
- Prioritize and escalate matters to supervisor as appropriate
- Prepare clear, concise, and complete reports
- Collect, obtain, evaluate, and interpret technical and specialized information correctly

- Exercise discretion in handling sensitive information
- Establish and maintain effective working relationships
- Pass pre-hire background check including drug screening, National criminal conviction, and DMV screenings

EDUCATION AND EXPERIENCE
- High School Diploma required; AA or BS preferred
- 2-3 years of Administrative experience required
- Any combination of education and experience may be considered.
LICENSES, CERTIFICATES & OTHER REQUIREMENTS
- Fluent English – reading and writing is required
- Valid Drivers’ License
- Valid Auto Insurance
- Pass pre-hire background check including DMV and credit screening.
- Pass Pre-hire Drug Screening
